Privacy policy
How DV SOFT handles personal data on this website and in FMS.

1. Who we are
FMS is provided by DV SOFT ("we", "us"). This policy covers two things: the personal data you give us on this website, and the personal data our client companies keep in FMS about their own staff and customers.
2. The law we follow
We handle personal data in line with the Digital Personal Data Protection Act, 2023 and the rules made under it, and with the Information Technology Act, 2000.
3. Data you give us on this website
When you send an enquiry, book a demo, ask for a quote, place an order or register a company, we collect what you type in: your name, email address, phone number, company name, city, line of business, team size and your message. When you register, we also keep the company's address name and the administrator's sign-in details. We record the internet address the form came from, to stop abuse.
When you place an order, we also keep the order details: the company's name, its GSTIN, its billing address and the contact person's name, email address and phone number. We keep these for invoicing and for our tax records.
We use these details to reply to you, to set up and run your company's account, to bill for it, and to tell you about changes to the service. We do not sell them, and we do not use them for anyone else's marketing.
4. Data our clients keep in FMS
A company using FMS decides what it records about its employees and customers: names, contact details, attendance, the location of the phone at day start, day end and check-in, visit reports and photos, orders, quotations, expense claims with receipts, and leave. For that data the client company decides why and how it is processed, and DV SOFT processes it on the client's behalf and on its instructions.
Each client company's records are kept in a database of its own, separate from every other client's. We access a client's data only to run the service, to give support when the client asks, or where the law requires it.
5. Payments
Online payments are processed by Razorpay, a payment service. When you pay online, you enter your card, UPI, netbanking or wallet details on Razorpay's own payment page, so they go to Razorpay directly. To prepare the payment we give Razorpay the amount and the contact person's name, email address and phone number, so it can send the payment request and receipt. Razorpay handles payment details under its own privacy policy.
FMS does not store card numbers or bank account numbers. We keep only payment references, such as the payment number or the bank transfer reference, with the amount and date, to match each payment to its order or invoice.
6. Location
The FMS field app asks the phone's browser for its location only when a person starts or ends the day or checks in at a customer. It does not track anyone in the background. The browser asks the person's permission first, and they can refuse.
8. How long we keep data
We keep enquiry details for as long as we need them to deal with your enquiry and any account that follows. We keep order, invoice and payment records for as long as the law on tax and accounts requires. A client's records are kept while the client uses FMS; when the account ends, we return or delete them as agreed with the client, except where the law requires us to keep something longer.
9. Keeping it safe
Passwords are stored only as one-way hashes. Each client's data is in its own database, reached only from its own address. Sign-ins are rate-limited, and every change and sign-in is written to an audit trail the client can read.
10. Your rights
Under the Digital Personal Data Protection Act, 2023 you may ask for a summary of the personal data we hold about you, ask us to correct, complete or erase it, withdraw consent you have given, and nominate someone to exercise these rights for you. If your data is held in FMS by a company you work for or deal with, please ask that company first; we will help them answer.
11. Grievances
For any question or complaint about personal data, write to our grievance contact at privacy@dvsoft.in. We will acknowledge your message and respond within the time the law allows. If you are not satisfied with our response, you may approach the Data Protection Board of India.
12. Changes
If we change this policy, we will update it here and change the date above. For significant changes affecting clients, we will also tell their administrators.
